About Handling Online Versions While Publishing

During the publication of a document, sWord will always ask present you with the Confirmation screen, before going ahead with the publication.

During this step, if there is a current version of the document published, sWord will ask you what you'd like to do with it.

Here is a description of the different options you can choose from:


Delete it

Choose this option if you do not want to keep a copy of the previous version of the document.

It is a good idea to delete previous versions of documents when having a history of that document is not necessary since every version of a document uses server space.

For example, if the only difference between the current version and the one you are about to publish is a simple correction of a spelling error, then it probably isn't necessary to keep the older version.


Leave it Published

Choose this option if you want to keep the previous version of the document online, as well as the version you are about to publish.

For example, suppose that the document you are publishing is entitled "Pricelist", the version currently online contains March prices, and you are about to publish April prices.

If you want your clients to be able to confront the two versions of the pricelist, you should use this option since it allows both versions to be simultaneously online.


Unpublish and Archive it

Choose this option if you want to keep the previous version of the document for your reference only, and replace the it with the version you are about to publish.

For example, suppose that the document you are publishing is entitled "Pricelist", the version currently online contains March prices, and you are about to publish April prices.

If you don't want your clients to be able to confront the two versions of the pricelist, you should use this option since it will replace the March prices with April prices. You will still be able to access the March prices version in the Versions Manager.
