Share a Document

To share a document, the document that you wish to share must be open in the main broswer window in editing. Choose File > Share from the Menu Bar. The Satellite Window will appear with the Document Sharing screen

When you have finished, simply press the close button. sWord will park the Satellite Window.


Add a new user to sharing

To add a user to a document's Users in Sharing list, you must first decide what rights the new user will have regarding the document. Choose oe of the following options from the pull down menu.


read only mode (r)

A user added in read only mode will not be able to make any changes to the document. The user will only be able to view the document in preview mode.


read/write mode (rw)

A user added in read/write mode will be able to make changes to the document. The user will be able to view the document both in preview mode, as well as in edit mode. All the changes made to the document will have the same validity as if they were made by you.


write/publish mode (rwp)

A user added in write/publish mode will be able to make changes to the document, and publish those changes. The user will be able to view the document both in preview mode, as well as in edit mode. All the changes made to the document will have the same validity as if they were made by you, and the user will not have to consult or alert you in any way before publishing the document.

If this user publishes the document, or if you publish the document while the user is in sharing in write/publish mode, the user will have full control over the document for all future versions. In other words, the user becomes a co-author and can do everything that you can with the document (including: deleting, publishing in a way that the document is no longer visible to you, adding or removing shared users, changing document properties and so on).

Note: there can be some rather complex chains of sharing and publishing set up to achieve an internal workflow. You should understand these chains in order to avoid creating a document for which no one (not even you) can have access to.

Once you ghave made your choice, type in the user's nickname in the with field and press the apply button.


Remove a user from sharing

To remove a user from sharing, click once on the nickname in the Users in Sharing list, then wait for sWord to update the Satellite Window.


Change a user's sharing rights

Once a user has been added to the Users in Sharing list, you may not change the user rights previously assigned.

  • You must first remove the user from the Users in Sharing list, then add the user back again as if it were the first time, assigning the new user rights desired.
